8 Purpose Statement The job of Administrative Assistant V / Nutrition Services is done for the purpose/s of maintaining the student lunch accounting system; updating and reconciling food services fiscal information; and supporting the Food Services Director and department operations.
Functions Assists other personnel for the purpose of supporting them in the completion of their work activities.
Informs personnel and vendors regarding a variety of procedures and program requirements for the purpose of providing necessary information for completing transactions, taking action and/or complying with established fiscal guidelines.
Maintains a wide variety of files and records (computerized and manual) (e.
g.
computerized school nutrition program, food inventories, equipment inventories, contracts, payroll, etc.
) for the purpose of providing an up-to-date reference and audit trail.
Monitors assigned projects (e.
g.
all food service bills, catering events, Free and Reduced Lunch program, food bids, etc.
) for the purpose of coordinating activities and ensuring compliance with established financial, legal and/or administrative requirements.
Performs general and program specific clerical functions and record keeping (e.
g.
answering phones, greeting visitors, mail, scheduling, copying, faxing, etc.
) for the purpose of supporting assigned administrator and/or site with materials.
Prepares various reports, documents and other written materials (e.
g.
federal and state mandated reports, menus, promotional flyers, posters, procedures, memos, letters, etc.
) for the purpose of documenting activities, providing written reference and/or conveying information.
Processes a wide variety of fiscal information (e.
g.
free/reduced program applications, food bids, catering bills, etc.
) for the purpose of updating records and/or ensuring compliance with program and accounting requirements.
Researches discrepancies of information and/or documentation for the purpose of ensuring accuracy and adhering to procedures prior to processing.
Responds to inquiries of staff, parents, students, principals, vendors, etc.
for the purpose of providing information and/or direction.
Supports assigned administrative personnel for the purpose of providing assistance with administrative functions.
Job Requirements:
Minimum Qualifications Skills, Knowledge and Abilities SKILLS are required to perform multiple, non-technical tasks with a need to occasionally upgrade skills in order to meet changing job conditions.
Specific skills required to satisfactorily perform the functions of the job include:
applying district, state and federal policies and regulations; operating standard office equipment; performing standard bookkeeping procedures; preparing and maintaining accurate records; and utilizing pertinent software applications.
KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read technical information, compose a variety of documents, and/or facilitate group discussions; and solve practical problems.
Specific knowledge required to satisfactorily perform the functions of the job includes:
accounting/bookkeeping principles and food and nutritional administration ABILITY is required to schedule activities and/or meetings; gather, collate, and/or classify data; and use basic, job-related equipment.
Flexibility is required to work with others in a wide variety of circumstances; work with data utilizing defined but different processes; and operate equipment using defined methods.
Ability is also required to work with a significant diversity of individuals and/or groups; work with data of varied types and/or purposes; and utilize specific, job-related equipment.
In working with others, problem solving is required to identify issues and create action plans.
Problem solving with data requires independent interpretation of guidelines; and problem solving with equipment is limited.
Specific abilities required to satisfactorily perform the functions of the job include:
maintaining confidentiality; meeting deadlines and schedules; working with detailed information; and working with frequent interruptions.
Responsibility Responsibilities include:
working under limited supervision using standardized practices and/or methods; leading, guiding, and/or coordinating others; and directing the use of budgeted funds within a work unit.

Working Environment The usual and customary methods of performing the job's functions require the following physical demands:
